Development Associate

As a member of the Development Team at White Pony Express, the Development Associate manages the donor CRM and provides broad support to the CEO, including assisting with coordination of fundraising activities, events, and campaigns. He/she/they assist in implementing development initiatives, preparing applicable reports, maintaining database systems, and corresponding with donors. 

ESSENTIAL FUNCTIONS

  • Inputs data and maintains WPE’s Salesforce database and third-party payment processing integrations.

  • Processes donations – cash, pledges, credit card, stock and other gifts – in a timely manner.

  • Reconciles data entry activity against financial accounting records.

  • Develops and updates written guidelines for entering gifts, processing thank you letters, running reports, and other related protocols.

  • Prepares monthly reports on donations (donor renewals, acquisitions, major gifts, and grants).

  • Updates, tracks, and shares donation reports with the CEO and Development Team.

  • Acts as point of contact with donors, fielding questions and building rapport.

  • Prepares and sends acknowledgment letters, thank you notes, and updates to donors.

  • Assists with fundraising campaigns and events, including scheduling, marketing, tracking gifts, and acknowledging contributors.

  • Schedules, records, and disseminates meeting notes for marketing and development team meetings.

  • Maintains grant tracker database to include grant terms, reporting deadlines and requirements, payment methods, and payment schedules.

  • Coordinates with Development Team to ensure that grant reports are submitted to funders in a timely manner and that all required information is included.
    Coordinates fundraising events and special projects, as assigned.

  • Assists CEO with event logistics, speaking engagements, and travel, as needed.


EXPERIENCE, SPECIAL KNOWLEDGE SKILLS

  • Development experience, including use of CRM (Salesforce) for donor tracking.

  • Communications skills, including social media, traditional media, and web site maintenance.

  • Email marketing and familiarity (Constant Contact, MailChimp, etc.) and ability to procure data and export subscriber lists.

  • Experience with Salesforce or similar CRM is required.

  • Minimum of two years in an office environment. Nonprofit background preferred.

  • Proficient in Microsoft Office Suite (Outlook, Excel Word and PowerPoint).

While performing the duties of this job, the employee is regularly required to talk, read, or hear and speak English as well as sit for long periods of time. The employee is required to stand, walk, sit, and use their hands for hours at a time.

Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus. The employee may be occasionally required to lift up to 30 pounds.

This position is full time. Weekends and evenings may be required depending on needed coverage for fundraising events.
